Overview
Adult day services support older and disabled people during the day, but many providers still run on paper rotas, shared inboxes and a fragile spreadsheet that drives monthly invoicing. Welday replaces that with one service for managers, staff and families, built around an attendance-to-invoice loop that also produces the outcome evidence commissioners ask for.
Research & service design
Led discovery with the anchor customer, mapping how managers, staff and families actually work across paper rotas, shared inboxes and a manual Excel-to-Xero billing sheet.
Defined eight personas and roles, each with their own needs and permissions.
Produced four service blueprints in Miro: the family and client journey, the manager, staff and data, and HR.
Turned the blueprints into a MoSCoW-prioritised product specification and a Linear backlog.
Ran a stakeholder-testing review that cross-checked every blueprint step against the specification and backlog. It surfaced unmet needs, such as an online referral portal and transport requests, before any build started.
What I built
Designed the service around one loop: the daily register drives billing, so attendance becomes invoices without re-keying, including split invoicing between families and funders.
Built it as a Turborepo: a Vite and React 19 web app with TanStack Router and Query, and a Hono API running on Supabase Edge Functions.
Made it multi-tenant from day one. Clerk issues a token carrying each organisation and role, Postgres row-level security enforces it in the EU region, and tenant-isolation tests run in CI.
Added outcome measures (GAS goal scoring and FIM+FAM), weekly health checks and family check-ins, so providers can show commissioners the difference they make.
Covered the rest of the operation: transport, timesheets, HR and training records, safeguarding and audit logs, with Stripe plans, Xero export, Resend email and pg_cron reminders.
